1. Exhibition booths
- 3 booth types available: Type A (9 m2), Type B (6 m2), Type C (3 m2)
Basic structure:
- Back and side system panels
- Company nameplate with booth number
- Parapet with company name
(Standard characters: logos and special characters are extra)
- Exhibition fee includes the following:
- A booth with the above accoutrements
- A set of 100 invitation letters and envelopes
An additional fee is required for decorations and electricity use.

* If the number of participants reaches the limit before the deadline, we may stop accepting applications.
3. Acceptance notification and booth arrangement
- After receiving an application form, we will contact participating bodies for confirmation. Please understand that we may have to decline your application if it does not fit our fair’s purpose.
- The host organization will decide the arrangement of booths according to fields, sizes, contents, acceptance orders, and venue composition, and will announce it at a briefing session for exhibitors at the end of July.
- Exhibitors are not allowed to give or rent their booths to others without the host organization’s permission.
4. Bills and payment
Once accepting applications, we will send bills to participating bodies by post. Please deposit the payment into the designated bank account.
Payment must be made on or before Friday July 31, 2009, which is at the end of month prior to the fair. If your payment has not been confirmed by that date, we may have to cancel your participation.
5. Prior notification
Prior notification is required for:
- Things related to public health regulations
e.g.) Food handling - Things related to the Fire Service Act
e.g.) Cooking and other performances which use fire or electricity
6. Change and cancellation
- If you want to change or cancel your participation after our confirmation, please contact us by fax or e-mail. You will have to pay the following cancellation fees.
Period Cancellation fee after confirmation but before the briefing session half of the exhibition fee after the briefing session the entire exhibition fee - If you do not provide us with the right information or violate general rules of the fair, we may have to cancel your participation. In this case, exhibition fees will not be refunded.
7. Prohibited behaviors
The following behaviors are prohibited at the venue:
- Conducting public relations in the spaces other than designated areas or booths
- Causing problems for the host organization or other exhibitors, including noise or bad smells
- Selling commodities
*There may be a limit on the distribution of sample products
8. Compensations
Exhibitors liable for any damage to people, the host organization’s facilities or the venue must pay reparations.
9. Management and immunity from responsibility
The host organization is taking appropriate measures for security and control of the venue by hiring security company staff throughout the whole exhibition period from the preparation period to clean up. However, the host organization is not responsible for any accident that may occur between booths, exhibit damages or theft. If you require insurance, you must take out a policy individually.
10. Others
- An exhibition guide will be published at a later date to inform participating bodies of detailed information about the exhibition and management at the venue. It will be distributed at the briefing session.
- The host organization may set other supplemental regulations other than those described here in order to manage the fair smoothly.
- If the fair is cancelled due to any cause beyond its control such as a natural disaster, the host organization will reimburse fees to participating bodies after deducting a necessary amount.
- Please note that composition and services of the fair are subject to change.
11. Notes
This English version was made for your convenience; however, after receiving your application, all communications about the fair will be made in Japanese. Please pay attention to documents that also have to be submitted in Japanese.
